When a co-op crosses 100 families, the problems change shape. The tools that carried you at 20 (a shared spreadsheet, one or two admins, a payment app) stop scaling. And the software choice you made early, back when price barely mattered, starts to matter a lot.

A large co-op needs three things a small one can get away with fudging: pricing that does not punish size, real admin roles so you are not the single point of failure, and payment collection that runs itself across hundreds of invoices. Here is what to look for.

Why per-family pricing hurts most at scale

Per-family pricing is the quiet tax on a growing co-op. At an illustrative $10 per family per year, the bill climbs with every family you add, and at scale, that climb is steep.

FamiliesPer-family (illustrative $10/family/yr)Flat plan (LearningSense Thrive, annual)
100$1,000/yr$990/yr
150$1,500/yr$990/yr
200$2,000/yr$990/yr
250$2,500/yrNetwork plan (talk to us)

Read the second and third columns side by side. On per-family pricing, growing from 100 to 250 families multiplies your software bill by two and a half for the exact same software. On a flat plan, the number does not move within your tier, because you already grew into it. For a large co-op, that gap compounds every single year.

You need more than one admin

A 150-family co-op cannot run through one person's login. You need assistant directors who can manage enrollment, a treasurer who can see payments and pull reports, and teachers who can take their own attendance and post to their own classes, without handing everyone the keys to everything.

Look for role-based access: distinct permissions for directors, assistants, teachers, and families. If the software assumes one all-powerful admin, it was built for a small co-op, and you will feel the ceiling fast.

Payment collection has to be automatic

Hundreds of invoices cannot be tracked by hand. At scale, you need invoices that generate the moment a family enrolls, reminders that send themselves before due dates, and a dashboard that shows paid versus unpaid at a glance and exports to CSV for whoever keeps the books.

The payment method matters more at scale too. ACH bank transfer costs a fraction of card processing, and across the volume of money a large co-op moves in a year, that difference is real money kept in the co-op instead of handed to a processor.

The large-co-op checklist

  • Flat or predictable pricing that does not rise per family
  • Role-based admin access: directors, assistants, treasurers, teachers
  • Automatic invoicing and payment reminders
  • ACH payment collection to keep processing costs down at volume
  • Reporting and CSV export for your treasurer
  • Caps and waitlists that enforce themselves on enrollment day

Where LearningSense fits for large co-ops

LearningSense's Thrive plan is flat: starting November 1, 2026, it covers up to 200 families for $99 a month, and larger programs can talk with us about a Network plan. Invoicing is automatic, families pay by ACH inside the same flow they enroll in, and the director dashboard shows payment status across the whole roster. The platform fee on payments is 0.5%, the same as Grow. Starting November 1, 2026, you can invite up to 5 co-directors on any plan, and Grow and Thrive add finance reports and a QuickBooks-ready export for whoever keeps the books.

One honest caveat: if your large co-op runs on a sprawling public website with years of pages and document libraries, weigh that against the operational strengths above. LearningSense is built around enrollment, payments, and communication first.

If you are running a large co-op and tired of a bill that grows every time you do, you can compare the flat plans on the pricing page or start at learningsense.org.
