Switching Co-op Software in 2026? What to Look For

Let me say this first: if your current co-op software works and your families are happy, you don't need to switch. New isn't a reason on its own.

But if you're feeling stuck, it helps to know what to look for. Here's what matters most when you compare tools.

What directors usually want from a new tool

  • A family portal that works well on a phone, with big buttons and clear status.
  • Payment collection built into the same place families enroll.
  • Setup you can finish in an evening, not a whole weekend.
  • Clear pricing you can see before you sign up.

How LearningSense handles these

Payments are built in. You connect Stripe once, and families pay by bank transfer (ACH) in the same place they enrolled. The invoice, the payment, and the roster all live in the same record. If you'd rather keep taking checks, Offline mode lets you mark payments as they come in.

The family portal is built for phones. Parents can see what they owe, what their kids are enrolled in, and the latest announcements without hunting through menus.

Setup is quick. Create a semester, add classes with class sizes and grades, set your fees, and share your signup link. Starting November 1, 2026, you can also bring your families over with an import from Homeschool-Life or a spreadsheet.

The Free plan includes real payment collection for programs up to 10 families. Every new program starts with a free 14-day trial of the Grow plan, which starts the moment you sign up.

When staying put is the right call

If your current tool holds years of history and a workflow your families know by heart, switching has a real cost. Switch because your current tool is in your way, not because something else is newer.

And if your co-op centers on a large public website with lots of pages and documents, weigh that carefully. Starting November 1, 2026, every LearningSense program gets a free website that shows your live classes, fees, and policies, but LearningSense is built around enrollment, payments, and parent communication first.

What I'd actually recommend

Don't take anyone's word for it, including mine. Spend an hour with any tool you're considering. Build a practice semester, add a class, invite yourself as a family, enroll, and pay. You'll know more after that hour than after any comparison.

If you'd like to try LearningSense, you can start a free 14-day trial. Or look at features and pricing first.
