How to Switch Homeschool Co-op Software Without Losing Your Data

The biggest reason directors stay on software they have outgrown is not loyalty. It is fear of the move — the worry that switching means losing years of family records, class history, and payment history, or spending a weekend untangling exports and imports. That fear is almost always bigger than the reality.

The safest time to switch is between semesters. You only need three things to carry over. And most of the history you are afraid of losing does not need to move at all — you can keep it as a downloaded file. Here is how to do the whole thing calmly.

Why switching feels scarier than it is

Co-op software holds a lot: your member directory, class history, payment records, and every announcement you have ever sent. Moving it feels like moving houses, where every drawer has to be packed. But a co-op only needs a small slice of that to run the next semester. The rest is an archive, and archives do not have to be re-typed into a new system to be safe.

The only three things you actually have to bring

To open enrollment on a new platform next semester, you need exactly three things:

• Your current family list — names and email addresses. This is what lets you invite everyone into the new tool.
• Your class list for next semester — the classes you plan to run, with grade ranges and caps.
• Your fee structure — registration fees, semester fees, and per-class fees.

What you don't need to migrate

Past enrollments, old payment records, previous semesters' rosters, and archived announcements do not need to live inside your new software. Export them from your current tool to CSV or PDF and keep the file. You remain perfectly able to look up what a family paid two years ago — it is just in a spreadsheet on your drive instead of in a live system you are paying for.

• Rebuild next semester's classes in the new tool, with caps and grade ranges.

• Run a test enrollment yourself — enroll a fake family, generate an invoice, make a test payment. Confirm the whole flow before real families touch it.
• Announce the move to families with one short, warm email and a single link.
• Open enrollment on the new system. Keep the old tool read-only until everything is confirmed, then cancel it.

This is the part directors worry about most, and it is the easiest. Families care about one thing: is this easy for me? Frame the move as an upgrade, give them one link, and keep it short. When not to switch

Be honest with yourself about timing. If you are mid-semester with active enrollments and payments in flight, wait. Switching while money is moving is the one scenario that actually is messy.
